JOB DESCRIPTION:

The project management coordinator responds to internal and external customer inquiries regarding rotating equipment repairs and service work. The Planner obtains parts lists, serial records, IO&M manuals for the service technicians. The Planner checks availability of stock and shipping dates. The planner quotes customer orders and manages customer contracts. The planner provides customer support and communication on order status. The planner tracks parts shortages expedites parts and directs purchase item deliveries. The planner coordinates repair work and acts as the liaison between the customer, sales, vendors, engineering and production departments.

PRIMARY ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Utilize various manufacturer's quotation software/portals/websites to obtain price and availability for the OTP Service Engineers and Field Service team
  • Use various communication tools - telephone, voicemail, computer (P21, E-mail) and faxes as needed
  • Provide backup to other co-workers to support customer needs as required
  • Work with the OTP service team and vendors on parts warranty claims and returns
  • Provide updated order status and assist with production planning
  • Enter orders into P21 and coordinate procurement with the OTP purchasing team

KNOWLEDGE/SKILLS/ABILITIES:
  • Must be able to show competency at working with bill of materials, exploded diagrams, and cross-sectional drawings
  • Ability to deal with customers and co-workers in a pleasant and professional manner
  • Strong communication, organizational and time management skills

REQUIREMENTS:
  • High School diploma or equivalent.
  • Experience with customer service within parts sales environment would be a plus
  • Mechanical/electrical repair or machine work industry preferred but not required
  • Strong computer skills with PC's and related software, such as MS Office products

PHYSICAL DEMANDS/ENVIRONMENT:
  • Walk, must be able to move about inside the office and shop.
  • Must be able to work at a stationary desk that can require sitting or standing.\
  • Operate/read from a computer/laptop monitor for several hours including fonts of various sizes and sources.
  • Must be able to communicate via telephone and electronic devices in the workplace.
